Does our data protection officer need to approve?

The GDPR does not require formal approval; the data protection officer advises and monitors. Depending on the use case, a data protection impact assessment under Art. 35 GDPR may be required. We therefore recommend involving them early, ideally before the pilot. innoGPT provides a DPA under Art. 28 GDPR with technical and organisational measures. The platform is hosted in Frankfurt, ISO 27001 certified and never uses your data for training. Which internal review steps are required is up to your administration.

Do we have to put AI out to tender?

That depends on the contract value and the applicable procurement law, for example the rules of your state and your internal procurement guidelines. There is no blanket answer. We are happy to provide the information on scope and terms that your procurement office needs for its assessment.

Who is responsible for AI results?

Responsibility stays with your staff. AI delivers drafts, summaries and research that are reviewed, adjusted and approved. Decisions on applications or notices are made by the responsible case worker. Sources in web search and references in documents help trace every result.

Can we include our own documents and bylaws?

Yes. Bylaws, internal instructions, information sheets and templates can be bundled in a knowledge base, including from SharePoint or Drive. On that basis you create custom AI assistants, for example for the enquiries of one department. Roles define who accesses which content.

How do we introduce AI in public administration?
